25Live: Scheduling Academic and Event Spaces

Catawba’s transition to 25Live is driven by the need for a more efficient, user-friendly, and data-driven approach to space scheduling. The 25Live system offers a web-based interface that allows unlimited users, including faculty, staff, and students, to search, reserve, and manage spaces and resources across campus. Its intuitive design simplifies event planning and ensures that all scheduling activities are centralized and transparent.

CollegeNet 25Live is launching for Fall 2025, coinciding with the start of the academic year. This timing ensures that the new scheduling system will be operational for the entire academic cycle, delivering immediate benefits to students, faculty, and staff.

By implementing CollegeNet 25Live, Catawba is leading the way in academic space management. This modernization effort aims to reduce scheduling time, optimize space use, and improve the campus experience for everyone. As the College implements these new tools, we can all look forward to a more agile, data-driven, and effective method for managing Catawba’s valuable academic spaces.

25Live is a comprehensive, web-based scheduling and event management platform designed for colleges and universities. It allows users to search for and reserve rooms, schedule courses and events, manage resources, communicate with service providers, and publish events to campus calendars—all from a single, intuitive interface.

Faculty, staff, and students with Catawba credentials (i.e. your Catawba login) can access 25Live. Some locations or resources may have restricted access; contact the controlling unit if you have issues.

Log in through your institution’s 25Live portal using your official credentials. If you’re new, allow several business days for account verification.

Use the search tools in 25Live to find available locations/resources, then submit a request through the Event Form. Requests require approval before confirmation.

Approvers see pending requests in their “Tasks” list. Open the event, assign or deny the location/resource, update the event state, and send a confirmation. Denied requests remain tentative.

Set individual occurrence times via the Event Form or by inline editing. More details are available in the event occurrence documentation.

Events cannot be deleted but can be canceled. Change the Event State to “Cancelled” to release associated locations/resources; a confirmation email will be sent.

Check the “Your Upcoming Events” box on the Home tab dashboard or view “Events in which you are the Requestor” for more details.

Most requests require approval before appearing on public calendars. Do not submit duplicate requests.

If you have permissions, access reports via the 25Live “More” menu under “Go to Tool.” Reports open in a new PDF window; enable pop-ups for best results.

Pop-ups may be blocked or the report may be large. Try emailing the report to yourself for large reports/files.

Yes! Use the “Customize Dashboard” link next to the cog wheel image to rearrange or remove dashboard elements.

25Live supports keyboard and screen reader accessibility, with ongoing improvements. Accessibility issues can be reported to support@collegenet.com.

Use the Detail Image and Event Image fields included on the Event Form.

A greyed-out symbol indicates that a location or resource is still in tentative status and not yet approved.
