Summary:
We are seeking an experienced Accounting Supervisor & Reporting Specialist to join the Finance Team at Catawba College. In this role, you will oversee the day-to-day accounting operations, ensuring accuracy and compliance with financial regulations and institutional policies. The ideal candidate will possess strong leadership skills, a solid understanding of accounting principles, and experience in financial reporting. You will lead a team of accountants, manage the month-end close process, and collaborate with various departments to support budget preparation and financial analysis. Your expertise will play a crucial role in maintaining the integrity of financial data and contributing to the institution's financial health. Essential Functions:
- Supervise finance team members, providing guidance and support in their daily tasks.
- Oversee the preparation of accurate and timely financial statements, reports, and analyses for internal and external stakeholders.
- Complete the reconciliation process for the general ledger cash accounts.
- Ensure the timely completion of all month-end close reconciliations, all journal entries have been accurately recorded and reconciled, resolve variances noted and provide reporting updates to the Director of Finance.
- Ensure all finance and accounting tasks completed are in compliance with GAAP and all departmental policies and procedures.
- Review and approve journal entries and account reconciliations.
- Provide financial forecasts and variance analyses for departmental budgets, to the Director of Finance and Director of Budget.
- Assist the Director of Finance with completion of internal and external audits, providing necessary documentation and support.
- Identify risk areas for process improvements, to enhance efficiency and effectiveness in accounting operations.
- Prepare reconciled financial reports and assist the Director of Finance with the preparation of monthly financial summaries to include Balance Sheet, Income Statement, Profit & Loss Statement and Statement of cash flows.
- Work closely with other department and program managers to provide financial insights and support decision-making processes.
- Participate in special projects related to financial planning, analysis, and strategic initiatives as assigned by senior management.
- Review and approve monthly Fixed Asset reconciliations completed by Accountant II.
- Review and approve all month-end close financial reconciliations completed by the reporting finance team members. Ensure all variances and discrepancies have been resolved.
- Ensure all month-end and year-end accrual journal entries have been reviewed and approved prior to posting to the banner system.
- Provide weekly updates on all accounting and financial reporting activities, variances noted, outstanding issues, etc. to the Director of Finance.
- Attend monthly team meetings with the business office finance team and provide high level analysis of current accounting activities, program and/or departmental requests or issues that need to be addressed.
- Act as backup to the Director of Finance in their absence, to ensure accurate and timely completion of financial reports.
- Perform periodic analysis of Chart of Accounts within Banner system to ensure no erroneous entries of incorrect code usage.
- Manage the Chart of Accounts, responding to new account fund code requests, identifying inactive codes that meet the institutional Fund Code policy and complete procedures to deactivate and remove fund codes, ensure no duplicate codes are being used, and collaborate with Department of Development on a quarterly basis to review fund codes are reporting the same between razors edge and banner.
- Assist the Director of Budget and Director of Finance with requested financial data to incorporate into the budget forecast preparations.
- Manage the Procurement Specialist responsibility of administering the Truist Bank Purchasing Card program to designated Catawba employees.
- Maintain relationships with Truist Bank stakeholders and Commercial Card service team members.
- Ensure application for credit card limit increases have been reviewed and submitted to the Director of Finance for approval and processing.
- Oversee the monthly reconciliations of departmental P-cards and troubleshoot all P-card issues as necessary.
- Prepare and submit required tax filings, reports, and year-end forms for vendors and contractors (e.g.1099, etc.).
- Review and approve all check runs prior to checks being issued.
- Assist the Director of Finance with the implementation of policies and procedures governing P-card usage and financial reporting.
- Other duties as assigned.

Desired Education, Skills, and Experience: Minimum, Bachelor’s degree in Accounting, Finance, Business Administration, or a related field. Master’s degree in Accounting , Finance or Business Administration (MBA) is a plus. Minimum of 5 years of accounting experience, with at least 2 years in a leadership role preferred. Strong ability to lead, motivate, and develop a team of accounting professionals. Proficient in accounting software (Banner, Razors Edge, Argos), Teams and Microsoft Office Suite (especially Excel). Excellent analytical and problem-solving abilities to interpret financial data and provide insights. Must possess a high level of accuracy and attention to detail in financial reporting and compliance.

Catawba College ("Catawba") seeks a proactive, detail-oriented Administrative Assistant to provide comprehensive support to the Goodman School of Education and to the Center for NC Politics and Public Service.
ESSENTIAL FUNCTIONS: Knowledge and skills necessary to fulfill the position include but are not limited to:
- Accreditation Support and Data Reporting: : Work closely with the Dean and Department Chair to manage data records and reports required for national accreditation and meeting state standards, ensuring compliance with all guidelines and timelines. Prepare and submit state and federal database reports, ensuring accuracy and timeliness.
- Administrative Management and Faculty Support: Serve as the primary administrative liaison for the Dean, Department Chair and department faculty with scheduling, preparation for meetings, creating agendas, preparing meeting materials, taking minutes, and collecting and filing course syllabi. Maintain the department calendar and keep all stakeholders aware of upcoming deadlines, activities, and engagements.
- Support for the Director of the Center for NC Politics and Public Service: Provide administrative assistance to the Director, including scheduling, event coordination, communication with stakeholders, and assisting with the organization of seminars, workshops, and community engagement activities.
- Guest Services and Event Coordination: Provide a welcoming presence for visitors, including faculty, staff, parents, and students, and assist with the planning and execution of departmental events, orientations, and information sessions.
- Financial Administration: Process monthly credit card statements, manage expense reports, purchase requests, reimbursements, employee action forms, and travel/mileage forms, maintaining accurate records for auditing purposes.
- Departmental Records Management: Maintain department records, forms, handbooks, college catalog entries, and correspondence, ensuring proper documentation and accessibility, to include website updates, as needed.
- Prospective and Current Student Engagement: Serve as a point of contact for inquiries from prospective students, currently enrolled students, and graduates regarding program requirements and application processes.
- Curriculum Materials/Learning Lab Management: Maintain and organize the Curriculum Materials Learning Lab, ensuring that resources are up-to-date and accessible for students and faculty. Manage inventory, coordinate material requests, and oversee work study students.
- Document and Application Management: Process applications for admission to Teacher Education and Student Teaching, verify departmental prerequisites, manage licensure test reports, and ensure compliance with background check and liability requirements.
- Other Duties as Assigned: Provide additional support as needed to meet the evolving needs of the Goodman School of Education and of the Center for NC Politics and Public Service.
QUALIFICATIONS:
- An associate degree or a minimum of 3 years of experience in an administrative support role, preferably within an educational setting.
- Strong interpersonal skills and the ability to engage effectively with diverse groups of people, both in-person and through written and verbal communication.
- Advanced organizational skills, with a high level of attention to detail and the ability to prioritize multiple projects simultaneously.
- Proficiency in Microsoft Office Suite and other office management software; familiarity with digital record-keeping and cloud-based collaboration tools.
- Ability to work independently and as part of a team, demonstrating a proactive and solutions-oriented approach to tasks.
- Strong problem-solving skills and the ability to adapt to a fast-paced work environment with shifting priorities.

WORK ENVIRONMENT: This position operates within a professional office environment, using standard office equipment such as computers, phones, photocopiers, and scanners. The role may include remote and in-person duties, adapting to hybrid working conditions as necessary.
PHYSICAL DEMANDS: The physical demands outlined here are representative of those required to perform the essential functions of this job. This role is primarily sedentary, but some movement is required for filing, organizing materials in the Curriculum Materials Learning Lab, and lifting files or file boxes. The Area Coordinator is pivotal in fostering a vibrant and supportive residential community at Catawba College. This live-in position oversees the day-to-day operations of assigned residential areas, providing leadership in student development, crisis management, and community building. The coordinator supervises a team of Resident Assistants (RAs) and collaborates closely with campus partners to enhance the overall student experience within the residential community.
ESSENTIAL JOB FUNCTIONS:
- Directly supervise and facilitate Catawba Resident Assistant's recruitment, training, and development.
- Consistent with the Catawba Mission and Student Affairs priorities, create and implement a team development plan that includes, but is not limited to, individual meetings, weekly staff meetings, and team bonding activities.
- Supervise, train, and mentor Resident Assistants (RAs) to ensure adequate support and programming within assigned residential areas.

- On Call & Crisis Management
- Serve in on-call crisis management rotation for the campus.
- Provide emergency response and crisis management as needed on campus and for staff.
- Develop a residence hall on-call program with the Resident Assistants to ensure 24-hour, seven-day coverage in the residence halls

The School of Health Sciences & Human Performance at Catawba College is growing and welcomes applications for an Assistant or Associate Professor of Sport Management (tenure-track) beginning Jan. 2025/Aug. 2025. Applicants for this position must have a completed doctorate degree in Sport Management, or a related area. The School of Health Sciences & Human Performance at Catawba College currently offers degrees in Exercise Science, Nursing, Clinical Mental Health Counseling, Recreational Therapy, and Sport Management. This position requires regular contributions to the College through faculty service appointments. The successful candidate will contribute to Catawba College’s community and culture through active participation in campus life beyond the classroom as a colleague and campus leader.
Responsibilities
- Teach in the undergraduate Sport Management program and the Masters of Sport Management program (depending on experience and expertise), as well as teach in undergraduate programs within the School of Health Sciences & Human Performance.
- The successful candidate will be expected to incorporate active learning strategies and effectively use instructional technology to support classroom instruction.
- Develop or assist in developing an accredited curriculum, academic standards, and student recruitment for the School of Health Sciences & Human Performance.

Qualifications and Experience
- An earned doctorate degree in Sport Management, or a related field
- Experience using a variety of instructional strategies, such as face-to-face delivery, online, hybrid, experiential learning, and field-based experiences to engage students with diverse experiences (preferred).

The Goodman School of Education at Catawba College seeks candidates for an Assistant Professor of Education, with a specialty in mathematics education. Teaching responsibilities will include undergraduate mathematics education courses and courses in other areas of possible content/pedagogy expertise. Responsibilities may include day and/or evening classes, with the possibility of summer coursework opportunities, courses in the First Year Seminar program, and courses in the College Honors Program. Successful applicants will have a background in mathematics education, familiarity with both face-to-face and online instruction, and K-12 public school experience. Preference will be given to candidates with experience in supervision of teacher candidates in their field experiences. Experience with technology education courses and with edTPA is preferred.

This position will be a full-time faculty position and may be tenure-track or non-tenure track, depending upon the qualifications of the applicant. Full-time faculty are expected to participate on committees, attend faculty and School of Education meetings, and conduct program and class assessments in accordance with the standards of the College. The Shuford School of Performing Arts at Catawba College seeks a tenure-track exceptional professional with specializations in Lighting Design and Technical Direction to teach courses at Catawba College. The successful candidate would run the Scenic Shop in the Theatre Department and teach Lighting Design and technology courses between theatre and music, including in the new BS in Entertainment Industries degree. Guided by “A College of Our Own” Strategic Plan, the Associate Vice President for Facilities Management and Capital Planning (AVPFMCP) provides operational and strategic leadership to the College’s facilities operations. Overseeing a total contracted and college workforce of 44, including five (5) management and administrative staff persons, the AVPFMCP is responsible for the stewardship of the College’s physical assets — a beautiful 276-acre campus including an ecological preserve and 1.1+ million square feet of space in 41 major buildings including residence halls, academic buildings, sports venues, and historic structures.
This role has direct responsibility for all aspects of academic and administration facilities management, including physical space planning, design and construction management, preventive maintenance program, deferred maintenance management, planning, environmental health and safety, fleet management, utility distribution (including operations of a soon to be constructed geothermal plant), and budgeting and procurement management. Capital Planning and Project Management:
- Collaborate with senior leadership and other key stakeholders to lead long-term master, capital, and space planning, collaboratively developing and prioritizing long-term and annual facilities needs and infrastructure improvement plans.
- Lead the management of all campus capital projects, including third-party project management of smaller renovation and construction projects and large capital projects, ensuring projects are completed on time, within budget, are coordinated to minimize impact to the College community, and meet the College’s standards, as well as codes and standards enforced by authorities having jurisdiction.
Sustainability
- Work closely with the Vice President of Sustainability and other key stakeholders to achieve the College’s sustainability goals and objectives.
- Lead facilities sustainability initiatives to continue to be a leader in reducing the environmental footprint and promoting sustainable practices in North Carolina, the Southeast United States, and higher education.
- Implement energy management programs and initiatives to enhance energy efficiency and reduce utility costs.
- Collaborate with faculty, staff, and students on sustainability education and outreach efforts.
- Ensure all renovations, new construction, and component renewals are energy efficient and align with the College’s commitment to sustainability.
- Promote Catawba as a leader and a model for sustainable campus operations in higher education.
Custodial, Grounds and Maintenance:
- Oversee the administration of third-party contract(s) to provide maintenance, groundskeeping, and custodial services to the College.
- Ensure the effective and efficient use of resources, including planning, budgeting, staffing, and procurement processes.
- Collaborate with third-party contractor(s) to develop and implement best practices and continuous improvement initiatives to enhance operational efficiency and service quality.
- Work with the third-party contractor to develop and maintain a comprehensive asset and work management system to record and manage work orders, supplies, and asset information.
- Develop and maintain facility renewal data and utilize to establish a campus-wide preventive maintenance program, prioritize projects and renovations, and advise College administrators on space planning and future uses of existing facilities.
Preventive Maintenance:
- In partnership with third-party partners, develop and implement preventive maintenance program for the College's facilities and physical infrastructure.
Budget and Procurement Management
- In collaboration with contractors and Finance & Administration, develop fiscal controls and project status reporting for capital projects.
- Develop and manage the facilities department’s annual operating and capital budgets.
- Ensure financial accountability, transparency, and compliance with all College and regulatory policies and procedures for all facilities-related expenditures and procurements.
- Review all contractor pay applications and invoices to ensure contract compliance and budget adherence.
- This position will be responsible for the management of any large capital projects determined to be managed by the university.
Emergency Preparedness and Response and Safety:
- Work closely with the Risk Manager in development and management of emergency response plans related to facilities, including protocols for natural disasters, fires, inclement weather, and other emergencies.
- Participate in emergency drills and ensure that all facilities’ staff and third-party contractors are trained in emergency response procedures.
- Maintain College procedures for storm and other emergency closures and advise on weather-related closures.
- Ensure all campus facilities comply with local, state, and federal regulations, including safety, health, and environmental standards.
- Develop and implement policies and procedures to maintain a safe and healthy campus environment.
- Ensure safety compliance, including the handling and disposal of hazardous materials, and promote a safety culture among staff, faculty, and students.
Vendor and Contract Management:
- Manage third-party contracts ensuring that services meet the College’s standards and are delivered within budget.

The Coordinator of Campus Programming is responsible for collaborating with the Dean of Students and Assistant Dean of Students for programming events hosted by Student Affairs and Campus Life. The Coordinator of Campus Programming assists with program development, event logistics, marketing and promotion efforts, implementation, and post-event feedback mechanisms. This position also supports student outreach and connection efforts for Student Affairs and Campus Life. Manages social media engagement and maintains the department website.
ESSENTIAL JOB FUNCTIONS:
- Assists the Dean and/or Assistant Dean with the programmatic development, implementation, and promotion of large-scale collaborative campus and divisional programs and events. Supports late-night and weekend programs as needed.

General Description:
The Director of Retention, Persistence, and Academic Success reports to the Vice Provost and provides leadership, expertise, and a strong equity-minded perspective on all aspects of student success across Catawba College.
This position provides leadership to success coaching, college advising, supplementary instruction, testing, and other key activities centered on cultivating student success. The Director also oversees the work of certain retention-related taskforces and committees and develops and facilitates training to help other constituents support students in these populations.
The Director effectively communicates processes and expectations directly with individual students and through programming and coordinates communication and response to student needs across Academic Affairs, Student Affairs, Athletics, and other units as required.
The college is currently prioritizing improving retention and graduation rates. The Director will develop, direct, and assess initiatives and services designed to increase persistence, academic goal completion, and graduation rates of students.

- Supervise the staff and functions of the Student Success Center.
- Convene and lead the CARES team - a cross-functional team that addresses students who are at risk.
- Coordinate a comprehensive offering of student-facing programs that include success coaching, tutoring, supplemental instruction, group study sessions, and other academic support workshop options for students that represent a diverse array of courses and levels.
- Collaborate with the Provost’s Office to determine short- and long-term strategies for the Student Success Coaching Program and Retention efforts.
- Seek opportunity for cross-functional teamwork in the Student Success Center (to include Career Services and Academic Access-ability) and across-the-campus with the Office of Student Affairs and Athletics.
- Work closely with the faculty directors for the Writing Center and SMART Center.
- Analyze and evaluate data on students who are not retained at Catawba. Produce reports with assessment about reasons for departure and provide recommendations for addressing gaps in student experience.
- Oversee the day-to-day operations of the Success Coaching Program, to include staff supervision and development.
- Develop, in conjunction with the Success Coaches, academic support resources for students to be included in academic workshops, distributed to faculty, and offered in courses and create electronic/web resources for students.
- Report, track, and assess the effectiveness of the academic support programs.
- Maintain a collaborative relationship with the Directors of Internships and Career Planning, the Center for International Studies, and Academic Access-ability.
- Represent the Office of Student Success at College functions, meetings, open houses, admission events, orientations, etc.

This role is critical to ensuring the accuracy and efficiency of tuition and fee processing, managing financial aid disbursements, refunds, and providing outstanding service to students and their families. Leadership & Team Management:
- Supervise and provide guidance to the Student Accounts team, including the Collections Specialist, Student Accounts & Collections Coordinator, and part-time student assistants.
- Ensure adequate staffing and efficient handling of all inquiries received through the telephone queue and business office email.
- Foster a collaborative and professional work environment focused on excellent service delivery.
Student Account Oversight:
- Ensure the accuracy of all student account charges, including tuition, room and board, insurance, and additional fees.
- Ensure accurate student classification and billing data has been entered by the Student Account & Collections Coordinator.
- Oversee the refund process to ensure compliance with Title IV federal and state regulations, with accurate and timely distribution of refunds.
- Monitor adherence to foreign national taxation regulations and compliance with institutional policies.
- Review and approve semester registration submissions and student billing reconciliations.
- Collaborate with the registrar’s office to implement the drop process for non-paid registered students.
Accounts Receivable & Cash Management:
- Coordinate and oversee accounts receivable functions during peak periods, such as payment due dates, final registrations, and administrative changes.
- Provide backup support for Accounts Receivable and Collections Specialists, including processing payments and ensuring accuracy.
- Enforce proper monetary controls across the team to maintain the integrity of all cash-related transactions.
Student & Family Communication:
- Serve as the primary contact for resolving escalated issues related to student accounts, communicating with students and families in a professional and empathetic manner.
- Manage financial holds and facilitate the issuance and release of holds based on overdue balances.
Reconciliation & Compliance:
- Reconcile student accounts receivable (AR) after each financial aid disbursement, ensuring accurate postings to the general ledger.
- Oversee the administration of financial components related to the campus card system.
- Complete 1098-T reporting, 1042 tax form completions for foreign students, third-party billing, and manage exemptions, waivers, and statement issuance for students and parents.
Collections Management:
- Direct in-house collections of student accounts and institutional loans through the Collections Specialist.
- Manage relationships with external collection agencies, ensuring adherence to collection policies and maintaining regular communication.
Policy Development & Compliance:
- Collaborate with the Director of Finance to develop, implement, and enforce policies and procedures related to cash management, accounts receivable, billings, and collections.
Audit & Reporting:
- Serve as the primary contact for Student Accounts during year-end audits and month-end close procedures.
- Prepare reconciliations, special reports, and necessary documentation to support audit requirements and internal reporting.
- Perform month-end audit of all student accounting transactions to ensure data entry accuracy.
- Generate and oversee all publications from the Office of Student Accounts, including updates to the Catawba College website and campus-wide email communications.
Additional Responsibilities:
- Perform other related duties as assigned by the Director of Finance to support the Finance Department and Student Accounts operations.

PURPOSE OF POSITION
The HR Generalist – Onboarding Specialist plays a crucial role in supporting the mission of Catawba College by ensuring a smooth and efficient onboarding process for new faculty, staff, and administrators. This position will be responsible for coordinating all aspects of employee onboarding, from orientation to integration into the campus community, while also assisting with other HR functions such as recruitment, benefits administration, and employee relations. DUTIES AND RESPONSIBILITIES
Onboarding & Orientation
- Onboarding Process Management: Oversee the entire onboarding process for new hires, ensuring compliance with institutional policies and state/federal regulations. Coordinate pre-employment paperwork, background checks, and other required documentation.
- Orientation Program Development: Design and facilitate new hire orientation sessions, providing information on university policies, benefits, culture, and available resources. Work with department heads to tailor onboarding experiences based on specific roles and departmental needs.
- Employee Integration: Serve as a point of contact for new employees during their first few months, addressing questions, clarifying expectations, and supporting their integration into the campus community.

- Recruitment Support: Assist in the recruitment and selection process by posting job openings, screening applicants, and coordinating interviews. Provide support in drafting job descriptions and ensuring that the recruitment process aligns with institutional goals and diversity initiatives.
- Employee Relations: Address employee inquiries and concerns related to benefits, policies, and workplace issues. Act as a liaison between employees and management, helping to resolve conflicts and promote a positive work environment.
- Benefits Administration: Assist employees with benefits enrollment and management, including health insurance, retirement plans, and other campus-specific offerings. Provide guidance on eligibility, plan options, and timelines.
- Data Management: Maintain accurate records in the HR information system (HRIS), tracking employee information, benefits, and performance reviews. Generate reports and analyze data to identify trends and support decision-making.
- Payroll: Collects full-time payroll information biweekly and monthly for the payroll process (including changes in salary, benefits, longevity, etc.).

The Instructional Designer at Catawba College works collaboratively with faculty and staff in providing design expertise and production assistance to support the virtual presence of the campus. Job Requirements:
EDUCATION: Master's degree in distance education, instructional technology, instructional design, adult/continuing education, educational leadership, or related fields. Learning Management System experience required. Preferred experience working with nontraditional learners and online programming.

The Department of Theatre Arts at Catawba College seeks an exceptional professional in Musical Theatre with a primary specialization in musical theatre dance styles and choreography. We seek artist/scholars with a strong commitment to professional-level training in a vibrant undergraduate program with a heavy focus on the liberal arts. Preference will be given to candidates who can also direct musicals.
Responsibilities:
he successful candidate will be able to take on varied responsibilities as the program demands, which may include but are not limited to: teaching technique in ballet/jazz/tap/modern and musical theatre styles, heading a collaborative student class-based Dance Ensemble, a dance minor, and choreographing or directing productions. Extensive knowledge of musical theatre repertoire, a knowledge of current trends in the professional industry, and the skills required to work within those trends are essential to this position.
The candidate will choreograph at least one major musical per year, as well as supervise musical and dance performances by student musical theatre/dance ensembles. Other instructional duties include coaching of students on musical theatre auditions and advising. Opportunities reflective of candidate’s expertise are possible. JOB OBJECTIVE: To ensure the safety of all persons and property on the Catawba College campus.
ESSENTIAL JOB FUNCTIONS:
- Understand and follow all campus security, safety, and emergency procedures
- Maintain familiarity and a positive working relationship with all members of the campus community
- Maintain a positive working relationship with all emergency services to include fire, police, and rescue
- Notify the Director of Public Safety and designated Catawba administrators of emergency situations occurring on or near campus
- Act as on the scene liaison between the Catawba and city/county emergency services
- Review, understand, and pass information pertinent to department daily operations via the daily shift log and shift change briefings
- Respond to all calls for service, assistance, and emergencies and provide escort as needed
- Responsible for locking and unlocking buildings in a timely manner
- Provide regular and frequent foot patrols of the interior and exterior of campus buildings and monitor all campus grounds and roadways. Make mobile patrols of campus as needed
- Responsible for completion of all incident reports, daily log entries, and/or any other written information pertaining to events occurring during the officer’s shift
- Monitor all campus parking areas and enforces traffic and parking regulations as needed
- Enforce Catawba policies, regulations, and procedures. Assist and participate in judicial hearings as needed
- Report security, safety, health, and/or fire hazard issues to appropriate personnel

We are seeking a skilled and detail-oriented Procurement Specialist to join Catawba College’s Finance Team. In this role, you will oversee the end-to-end procurement process, including sourcing, purchasing, and contract management for goods and services essential to the institution’s academic and administrative functions. ESSENTIAL FUNCTIONS:
Procurement Coordination:
- Oversee and coordinate purchasing activities for all departments at Catawba College.
- Identify, evaluate, and select suppliers based on quality, cost-effectiveness, and delivery timelines.
- Manage the procurement process, including reviewing requisitions, creating purchase orders, ensuring order fulfillment, and confirming the receipt of goods/services.
- Generates and executes purchase order change orders and validates accounts and other transactions in financial system.
- Ensures verification of budget availability for requisitions; communicates with appropriate division/department leaders and accounting staff to make corrections as needed; understands and applies chart of accounts.
Vendor & Contract Management:
- Build and maintain strong relationships with vendors to facilitate effective communication and collaboration.
- Negotiate favorable contracts and terms with suppliers to support institutional objectives.
- Address and resolve procurement-related issues, including discrepancies, supply chain disruptions, and vendor performance concerns.
- Oversee the purchasing of athletic equipment, uniforms, supplies, and services for the University’s athletic department.
- Manage vendor relationships, negotiate contracts, ensure compliance with institutional policies and NCAA regulations, and maintain budgetary controls.
- Coordinate the procurement of travel services for teams, managing inventory levels, and supporting event logistics.
- Ensure that all athletic programs have the necessary resources to operate efficiently while adhering to financial and regulatory standards.
- Ensure accurate and timely Lease Management and Reporting.
- Sustainability: Responsible for sourcing and purchasing environmentally responsible goods and services that align with the institution's sustainability goals.
- This includes identifying eco-friendly products, managing vendor relationships, and ensuring compliance with sustainability standards.
- Evaluate supply chain practices, promoting sustainable procurement initiatives, and work with various departments to reduce the institution's environmental impact.
- Track and report on sustainable procurement efforts, contributing to the university's overall sustainability strategy.
- Manage the administration of the institutions purchasing card program.
- Collaborate with the Accountant II and Director of Finance to enforce and ensure all cardholders compliance with all institutional purchasing policies.
Financial Analysis & Reporting:
- Conduct monthly analysis of purchasing data to identify cost-saving opportunities and improve procurement strategies.
- Assist with month-end and year-end close procedures, as well as audit preparation and documentation.
- Reconcile departmental purchasing expenditures with budget data on a monthly basis and provide updates to the Director of Finance/CFO and department heads.
Compliance & Documentation:
- Ensure all procurement activities comply with institutional policies, regulatory requirements, and ethical standards.
- Maintain accurate and up-to-date records of purchases, contracts, and supporting documentation.
- Develop contingency plans to mitigate risks associated with vendor performance, market fluctuations, or other supply chain challenges.
Training & Departmental Support:
- Provide guidance and training to staff on procurement procedures and best practices.
- Collaborate with departments to assess inventory and procurement needs, offering strategic support to optimize purchasing activities.
Data Analysis & Process Improvement:
- Analyze procurement activities, spending trends, and supplier performance data, providing insights and reports to the Director of Finance.
- Stay updated on industry trends and best practices, implementing improvements to enhance efficiency and effectiveness in procurement processes.
Other Responsibilities:
- Perform other duties as assigned to support the Business Office Finance Team and institutional procurement objectives.

We are seeking a highly organized and detail-oriented Student Accounts & Collections Coordinator to support our financial operations related to student billing, collections and account management. In this role, you will assist with processing tuition payments, managing student accounts, and responding to billing and financial aid inquiries. The ideal candidate will bring strong analytical skills, exceptional customer service abilities, and a thorough understanding of financial policies within a higher education setting. This position plays a critical role in maintaining accurate financial records and providing clear, supportive guidance to students and families on their account details. Essential Functions:
Customer Service & Inquiry Management:
- Provide outstanding customer service in a front-office setting, addressing inquiries and requests through the telephone queue and business office email.
- Collaborate with the Director of Student Accounts and other team members to ensure comprehensive coverage for all incoming queries.
Student Account Management:
- Accurately maintain student account charges, including tuition, room and board, student insurance, and other related fees.
- Process, verify, and post payments from students, families, and campus departments.
- Reconcile Financial Aid and G/L Student Accounts Receivables accurately and timely and provide reports to the Director of Student Accounts.
- Ensure accurate and timely completion of student refund reports and provide to the Accounting & Accounts Payable Coordinator to be processed on the next check run cycle.
- Ensure all student refunds are in compliance with Title IV federal and state regulations.
- Issue and manage e-billing and account statements for students and their families.
Accounts Receivable & Reporting:
- Support accounts receivable processes during key times, such as payment due dates, final registrations, and administrative change dates.
- Generate weekly reports on student accounts receivables and collection activities for the Director of Student Accounts.
- Collaborate with the Collections Specialist on collection efforts, including managing aged trial balances and third-party accounts.
- Create invoices for third-party organizations that make payments on behalf of students.
- Assist the Director of Student Accounts with the accurate and timely completion and filing of 1098-T and 1042 Tax forms for all students.
Reconciliation & Compliance:
- Reconcile student accounts after each financial aid disbursement, ensuring accurate postings to the general ledger.
- Regularly compare student account transactions with the institution’s general ledger and resolve discrepancies.
- Notify the Director of Student Accounts of any discrepancies or variances identified in accounts receivable reconciliations.
Financial Holds & Collections:
- Work with the Director of Student Accounts to issue and release financial holds due to overdue student balances.
- Coordinate collection activities and collaborate on reporting for past-due accounts.
Reporting & Documentation:
- Produce and provide student account-related reports for internal departments as requested.
- Maintain complete and accurate records of all student account transactions, billing activities, and reconciliations.
General Duties:
- Adhere to Catawba College’s monetary controls and accounts receivable policies for all billing, cashiering, and deposit transactions.
- Perform other duties as assigned.
